How to Bulk Delete in SharePoint

Over the past few decades, the way we store documents has changed. The old filing system that meant hoarding paper documents in office filing cabinets has moved aside in favor of electronic document storage and management. While there are many document storage systems, only a few come close to Microsoft SharePoint.

SharePoint remains one of Microsoft Corporation’s best creations. The company unveiled the document management and storage system in 2001, and it instantly became a hit. Since then, Microsoft has released many new versions of SharePoint as adaptive upgrades.

Over 200 million people use SharePoint for their daily office tasks. However, SharePoint is a useful system that you can also use at home for your personal documents.

SharePoint comes with a wide array of features and capabilities. It allows you to store, track, receive, share and manage documents.

Benefits of SharePoint

Like other document management systems, SharePoint has many benefits. For instance, it secures and protects your confidential documents. You can control documents at a folder level and limit who can access them. The best part is that it lets you know who has viewed your document.

While hazards such as fires can destroy all your documents, SharePoint stores them electronically. If you lose your computer, you can retrieve pertinent records from backups.

In terms of space, SharePoint is not like a traditional storage system that could occupy an entire room. You only need a computer with a reasonable capacity hard disk or SSD. Moreover, retrieving files in SharePoint is super quick. With just a few clicks of your mouse, you can find a file you saved years ago.

Additionally, SharePoint is everywhere. It lives on a server, and users connect to it through a browser. Many companies and enterprises use it. Also, it has many access points. For example, you don’t need to walk around with your computer all the time. You can access your documents on your smartphone.

SharePoint is one of the many features of Microsoft Office Suite. Hence, it is compatible with other common software programs. Besides being reliable, it is customizable, and Microsoft is constantly improving it.

One of the most useful SharePoint features is collaboration. This includes creating websites, building solutions, sharing, and document storage. You don’t always have to use SharePoint through a browser. For instance, you can create and save documents in Word and Excel. Also, you can integrate calendars on Outlook. Since the functionality of SharePoint is broad, performing some tasks such as a bulk file delete isn’t as straightforward as you’d expect.

Deleting bulk files one at a time is a laborious and time-consuming task. That is why the makers of SharePoint made it simple to integrate bulk delete features into it. You can hop over to VirtoSoftware site to learn more.

SharePoint Bulk File Delete

Sometimes you want to clean up your storage by deleting files that you no longer need and creating space for new ones. The chances are that the previous files built up over months or years of work. Consequently, deleting each file at a time could be a long and laborious process. This is where SharePoint bulk delete comes in. It is a function that allows the deletion of multiple files simultaneously.

How to Quickly Delete All Documents in SharePoint Library

It is possible to delete multiple files, folders, and subfolders on SharePoint with a few clicks. You only need to head over to the SharePoint online library using your browser. Go to the checkmark for file selection. Pick the ‘all files’ option and hit delete.

A ‘confirm delete’ notification option will pop on the screen. If you are sure that you don’t need the files in question, proceed to delete them.

When you bulk delete files, the system will move them to the recycle bin. If a file among those you want to delete is checked out to another user, you will receive an error code that will block the deletion.

Power Automate Delete All Files

The Power Automate delete option is another viable solution for clearing bulk files on SharePoint. It allows you to delete files older than seven days from your library.

Go to flow.microsoft.com and log in with your office 365 credentials. Click on create flow. You will then see several flow options.

Click on the second option, which has an ‘Instant Cloud Flow’ label. Type in ‘Delete All Files from Library for the flow name portal.’ Select the ‘manually trigger flow button for mobile below this option.’ Proceed to click on create.

You will see that your flow is ready. Click on the next step and search for ‘get files.’  Select the ‘Get files(properties only.’ option. It will ask you to provide the site address library name. Copy your site SharePoint site name and paste it into this box. After that, select the folder with the files you want to delete. Click on ‘Next Step’ and search for ‘Delete files.’

Select the SharePoint delete file option. Enter the site address and click on the identifier. It will delete all the files.

Follow these simple files whenever you want to use the SharePoint bulk delete feature. After some time, it will become second nature.
